About the Role

The role of the Executive Assistant to the Principal & College Secretary is to provide reception and administrative duties to support the Principal, staff and students at OLSH. You will work collaboratively with all stakeholders and provide empathy towards students and families in their circumstances.

This is a broad and dynamic position requiring initiative, strong organisational skills, and the ability to manage competing priorities in a fast-paced school environment.

The College Secretary has a role to play in ensuring the administrative affairs of the College are dealt with in an orderly and efficient manner. This position has a key role to play in the day-to-day administrative needs of the College Community, and planning for events and special occasions. The management of essential school information in a manner that is both confidential and professional is a key responsibility of the role.

Key Responsibilities include, but not limited to:

  1. Carry out PA duties, as directed by the Principal;
  2. Provide leadership to College administration staff across 3 campuses and delegate duties as required;
  3. Update policies and procedures, handbooks and forms as required;
  4. Attend to all customer phone and email enquiries promptly;
  5. Communicate in a caring and professional manner with parents, visitors and dignitaries;
  6. Communicate effectively with Catholic Education Office, Marist Brothers and Parish Staff;
  7. Manage staff employment process in a timely manner;
  8. Oversee the employment of international staff involving visas, and the enrolment of international students;
  9. Manage student enrolments in a timely manner;
  10. Prepare meeting agenda and correspondence and record minutes for meetings as required;
  11. Event Management;
  12. Statistic data reporting; and
  13. Other duties as per the role description.

This is a permanent position, commencing end of May (negotiable)

Applicants must be permanent Australian Residents.

About You

You are an experienced administrator who thrives in a people-focused environment and enjoys being at the centre of a busy organisation. You bring a high level of professionalism, initiative and care to everything you do.

You will demonstrate:

  • Proven experience in a senior administrative or executive support role
  • Strong leadership capability and experience supervising staff
  • Excellent communication skills, with the ability to engage with diverse communities
  • High-level organisational and time management skills
  • Initiative and the ability to work independently
  • Strong attention to detail and confidentiality
  • Proficiency in Microsoft Office, with the ability to learn new systems (experience with Civica Education Suite is advantageous)

Essential Requirements

  • Commitment to the ethos and values of Catholic education
  • Current NT Working with Children (Ochre Card) or ability to obtain
  • Permanent Australian residency
  • Senior First Aid (desirable, not essential)

This is a permanent position, commencing late May (negotiable).
